General Terms
- The Hand in Hand Festival is committed to promoting sustainable practices and minimising its environmental impact. Performers are encouraged to support this effort by minimising waste, conserving resources, and using environmentally friendly transportation options.
- All performers must comply with Hand in Hand Festival’s terms and conditions, rules, and policies, as well as all applicable laws and regulations.
- Performers must respect the rights and dignity of other performers, festival staff, and the local community, and must not engage in any behaviour that is disruptive, offensive, or harmful.
- Performers must take responsibility for their own safety and well-being during the festival and must follow all safety instructions and precautions provided by the festival staff or the local authorities.
- Performers must respect the environment and local cultural heritage and must not engage in any behaviour that is damaging or disrespectful to the natural or cultural resources of the festival location.
- Performers may be required to provide proof of identity, registration, or other information as requested by the festival staff or the local authorities.
- Performers have the right to withdraw from the contract and cancel their registration, subject to the festival’s cancellation policy and terms and conditions.
- The festival reserves the right to modify, cancel, or postpone the event at its discretion, and is not responsible for any costs or damages incurred by performers because of such changes.
- Performers who violate any of the festival’s terms and conditions, rules, or policies, or who engage in behaviour that is disruptive, offensive, or harmful, may be subject to legal action and/or removal from the event without refund or liability, as determined by the festival at its discretion.
- These terms and conditions are governed by and construed in accordance with the laws of the jurisdiction in which the festival is held, and any disputes arising from or related to these terms and conditions shall be resolved through arbitration or other legal means as determined by the festival at its discretion.
Choir Registration
- Choirs must register through the official website of Hand in Hand Festival 2024, handinhandfestival.org.
- Each choir must register and pay a participation fee based on the size of the choirs membership database (not the number of performers participating in the festival).
- Once registered, the choir’s participation is confirmed and non-refundable.
- The registration fee covers the cost of the choir’s participation and does not include travel, accommodation, or meals.
- Choirs are responsible for their own transportation and accommodations during the festival.
- The festival reserves the right to cancel any event due to unforeseen circumstances. In such cases, the registration fee will be refunded.
- By registering, choirs agree to allow the festival to use their name, likeness, and performance for promotional purposes.
Individual Performer Registration
- Each performer must register individually through the official website of Hand in Hand Festival 2024, handinhandfestival.org.
- Performers must be at least 18 years old to register for the festival.
- A performer can register for more than one choir.
- All performer must pay the registration fee in full to participate in the Hand in Hand Festival 2024.
- The registration fee covers the cost of the performers participation and does not include travel, accommodation, or meals.
- Performers are responsible for their own transportation and accommodation and meals during the festival.
- The festival reserves the right to change the registration fee at any time. In such event the festival will give at least 30 days prior notice via publications on their website and/or social media.
- Performers who breach the festival’s code of conduct or fail to comply with the festival’s rules and regulations may be subject to legal action and/or removal from the event, and no refund will be issued.
- By registering, performers agree to allow the festival to use their name, likeness, and performance for promotional purposes.
Payments
- Payment of registration fees must be made through the official website of Hand in Hand Festival 2024, handinhandfestival.org.
- Payment must be made in the currency specified on the website and is inclusive of any applicable taxes.
- Payment can be made using a credit card, PayPal, or any other payment method specified on the website.
- The festival reserves the right to reject any payment that is not in compliance with the payment instructions provided on the website.
- Performers are responsible for any fees charged by their bank or payment provider for the payment of the registration fee.
- If payment is rejected or declined, the performer’s registration will not be processed until payment is made in full.
- The festival may offer discounts or promotional offers for early registration. Such offers may have specific terms and conditions that must be complied with.
- Performers who fail to pay the registration fee before the deadline may be disqualified from participating in the festival without a refund.
- The festival may require performers to provide additional information or documentation to verify their payment.
- The festival will not store or share any payment information with third parties unless required by law.
Legal Requirements Check
- Performers must provide accurate and complete information during the registration process. Any false or misleading information may result in disqualification from the festival without a refund.
- The festival may require performers to provide additional documentation to verify their eligibility or compliance with the festival’s rules and regulations.
- Performers must comply with all requirements specified by the festival, including but not limited to dress code, performance duration, and rehearsal schedules.
- Performers must bring their own musical instruments, scores, and any other equipment required for their performance, unless specified otherwise by the festival.
- Performers who fail to comply with the festival’s requirements or who violate the festival’s code of conduct may be disqualified from participating in the festival without a refund.
- The festival reserves the right to make changes to the requirements or rules and regulations at any time without prior notice.
- Performers agree to follow the festival’s rules and regulations, as well as any instructions provided by the festival’s staff and organisers.
Delegate Pack
- The delegate pack is provided to registered performers of the Hand in Hand Festival 2024 who have paid the applicable registration fee.
- The delegate pack includes materials, information, and items specified by the festival, which may vary from year to year.
- Performers agree to provide accurate and complete information during the registration process to ensure the provision of the delegate pack.
- The festival will make reasonable efforts to deliver the delegate pack to the delegate upon registration/check-in. However, the festival is not responsible for any delays or errors in delivery due to circumstances beyond its control.
- The festival reserves the right to change the contents or design of the delegate pack at any time without prior notice.
- The delegate pack is for personal use only and may not be resold or distributed without the festival’s prior written consent.
- Performers who have not received their delegate pack or who have received a damaged or incomplete delegate pack may contact the festival for assistance.
- The festival is not responsible for any loss or damage to the delegate pack after delivery.
- The delegate pack may contain promotional materials from sponsors or affiliates of the festival. Performers agree to receive such materials as part of the delegate pack.
Workshops
- Performers must be registered for the Hand in Hand Festival 2024 to book and attend any workshops.
- The availability of workshops may be subject to change without prior notice.
- Performers are responsible for booking their desired workshops in advance through the festival’s website. The festival may limit the number of performers for each workshop to ensure a safe and comfortable environment and an optimal learning experience.
- The festival may require additional fees or charges for booking and attending workshops. Such fees will be clearly stated on the festival’s website.
- Performers must arrive on time for their booked workshops and follow the instructions of the workshop facilitators. Late arrivals may be refused entry to the workshop without a refund.
- Performers must bring their own materials or equipment required for the workshop, unless specified otherwise by the festival or workshop facilitators.
- The festival is not responsible for any loss or damage to the materials or equipment brought by performers to the workshop.
- The festival reserves the right to cancel or reschedule any workshop due to unforeseen circumstances or other reasons beyond its control. Performers will be notified of such changes as soon as possible and can apply for a refund of any fees paid for the workshop.
- Performers who cancel their booking for a workshop may be subject to cancellation fees or other charges, as specified by the festival or workshop facilitators.
- Performers agree to assume all risks associated with their participation in the workshop, including but not limited to the use of any materials or equipment provided by the festival or workshop facilitators.
Photos and Videos
- The festival may take photos and/or videos of the performers during the event for promotional purposes.
- By registering for the event, performers grant the festival the right to use their name, likeness, and participation in any photos and/or videos taken during the event for promotional purposes.
- The festival may use the photos and/or videos in any medium, including but not limited to print, online, and broadcast media, without further compensation or permission from the performers.
- Performers who do not wish to be photographed or recorded during the event should inform the festival in advance, and the festival will make reasonable efforts to avoid photographing or recording them. However, the festival cannot guarantee that all photos and/or videos of the event will be free of any performer’s image or likeness.
- The festival reserves the right to remove any photos and/or videos from its promotional materials at any time and for any reason.
- Performers who take photos and/or videos of the event for personal use must comply with all applicable laws and regulations, including those related to copyright and privacy. The festival is not responsible for any such photos and/or videos taken by performers.
- Performers who share photos and/or videos of the event on social media or other public platforms should use the festival’s designated hashtags and handles and must comply with the festival’s social media policy.
- Performers who share photos and/or videos of other performers without their permission may be subject to legal action and/or removal from the event without a refund.
Cancellation
- Performers who wish to cancel their registration for the Hand in Hand Festival 2024 must notify the festival in writing, either by email or through the festival’s website.
- The festival will refund the registration fee to performers who cancel their registration before 30 April 2024, as specified on the festival’s website.
- Performers who cancel their registration after 30 April 2024 may not be eligible for a refund, unless in case of special circumstances, such as medical emergency or force majeure, as determined by the festival at its discretion.
- The festival may charge a cancellation fee or other charges for cancellation of registration.
- The festival is not responsible for any other costs or expenses incurred by performers in connection with their registration or cancellation, including but not limited to travel, lodging, insurances and transportation costs.
- The festival may cancel a performer’s registration at its discretion, without refund or liability, if the performers violates any of the festival’s terms and conditions, rules, or policies, or if the performer’s behaviour is deemed disruptive or harmful to the festival or other performers.
Limitation of Liability
- The Hand in Hand Festival, its organizers, sponsors, and partners shall not be liable for any damages, losses, injuries, or expenses arising from or related to the performer’s attendance or participation in the festival, except to the extent that such damages, losses, injuries, or expenses are directly caused by the festival’s gross negligence or wilful misconduct.
- The festival shall not be liable for any indirect, incidental, special, or consequential damages, including but not limited to lost profits or business interruption, arising from, or related to the performer’s attendance or participation in the festival.
- The festival shall not be liable for any damages, losses, injuries, or expenses arising from or related to the performer’s failure to comply with the festival’s terms and conditions, rules, or policies, or from any act or omission of the performer that causes harm to themselves or others.
- The performer acknowledges and agrees that attendance and participation in the festival may involve inherent risks and hazards, including but not limited to physical exertion, exposure to extreme weather conditions, and other activities that may result in injury or illness. The performer assumes all such risks and hazards and releases the festival, its organizers, sponsors, and partners from any liability arising from such risks and hazards.
- The performer agrees to indemnify and hold harmless the festival, its organisers, sponsors, and partners from any claims, damages, losses, or expenses arising from or related to the performer’s attendance or participation in the festival, including but not limited to any claims made by third parties.
- The festival’s liability for any damages, losses, injuries, or expenses shall be limited to the amount paid by the performer for their registration fee, and the performer agrees that this limitation of liability is reasonable and necessary to enable the festival to operate and provide its services.
- These terms and conditions shall be interpreted and enforced in accordance with the laws of the jurisdiction in which the festival is held, and any disputes arising from or related to these terms and conditions shall be resolved through arbitration or other legal means as determined by the festival at its discretion.
Complaints and Special Assistance
- The Hand in Hand Festival aims to provide a high-quality experience for all performers, and we take all complaints and issues seriously. If a performer has a complaint or requires special assistance during the festival, they should inform the festival organisers as soon as possible so that appropriate action can be taken.
- The festival organisers will make reasonable efforts to address complaints and provide special assistance but cannot guarantee that all requests will be accommodated. The festival reserves the right to refuse special assistance or make modifications to the festival program if it would result in a fundamental alteration to the event or create an undue burden on the festival’s resources.
- Performers who require special assistance due to a disability or other medical condition should inform the festival organisers in advance so that appropriate accommodations can be arranged. The festival will make reasonable efforts to provide accessible facilities and services but cannot guarantee that all requests for accommodation can be accommodated.
- Performers who have a complaint or issue that is not resolved to their satisfaction during the festival should inform the festival organisers in writing within 30 days of the festival’s conclusion. The festival organisers will investigate the complaint and respond in writing within a reasonable timeframe.
- The festival organisers reserve the right to refuse entry or eject any performer who engages in behaviour that is disruptive, dangerous, or violates the festival’s rules or policies, without refund or compensation.
Intellectual Property Rights
- The Hand in Hand Festival respects intellectual property rights and expects all performers to do the same. Performers must not use any intellectual property belonging to others without permission, including but not limited to trademarks, copyrights, photographs and patents.
- Performers who perform at the festival retain ownership of their own intellectual property, including but not limited to music, lyrics, and choreography. The festival reserves the right to record and/or broadcast performances as part of its promotion and marketing of the festival, and performers grant the festival a non-exclusive, perpetual, royalty-free license to use and distribute such recordings or broadcasts for this purpose.
- Performers who submit any materials to the festival for promotional or marketing purposes, including but not limited to photographs, videos, and written materials, grant the festival a non-exclusive, perpetual, royalty-free license to use, reproduce, distribute, and display such materials in any media for the purpose of promoting the festival.
- Performers who use the festival’s intellectual property, including but not limited to its name, logo, and website, must do so in accordance with the festival’s guidelines and with permission from the festival organizers. Performers must not use the festival’s intellectual property in a way that implies endorsement or affiliation with the festival unless permission has been obtained in advance.
- The festival respects the intellectual property rights of others and will respond to notices of alleged infringement in accordance with applicable laws and regulations.
